1. Service description

LandlordAssist provides an AI-powered property operations assistant for landlords in England. The service includes:

  • A dedicated AI agent accessible via Telegram or email
  • Compliance tracking for gas safety, EICR, EPC, and other certificates
  • Automated morning briefings on your portfolio
  • Working-draft checklists for current Form 3A and Form 4A workflows; not ready-to-serve statutory notices
  • Document storage and analysis
  • Contractor discovery and management
  • Rent collection tracking and arrears management

2. Beta programme

Beta Notice

LandlordAssist is currently in beta. During the beta period:

  • Access may be free during evaluation or supplied under a separate paid pilot agreement.
  • Features may be added, modified, or removed without prior notice.
  • We may experience occasional downtime or service interruptions.
  • We welcome your feedback to help improve the service.

LandlordAssist is a property management tool, not a law firm or legal advisory service. The AI-generated content, including legal notice drafts, compliance alerts, and suggested actions:

  • Does not constitute legal advice.
  • May contain errors or be based on outdated information.
  • Should always be reviewed by a qualified solicitor before being relied upon.
  • Is provided for informational and convenience purposes only.

We strongly recommend consulting a property solicitor before serving any legal notice or making decisions that could affect your tenants' rights.

4. Your responsibilities

As a user of LandlordAssist, you agree to:

  • Provide accurate property and tenant information.
  • Review all AI-generated notices and correspondence before sending or serving them.
  • Maintain your own compliance records — LandlordAssist is an aid, not a replacement for your legal obligations as a landlord.
  • Comply with all applicable laws including the Housing Act 1988, Landlord and Tenant Act 1985, and UK GDPR.
  • Not use the service for any unlawful purpose, including harassment or discrimination.
  • Keep your account credentials and Telegram bot secure.

5. Limitation of liability

To the maximum extent permitted by law:

  • LandlordAssist shall not be liable for any losses arising from reliance on AI-generated content, including incorrectly drafted notices, missed compliance deadlines, or inaccurate property information.
  • Our total liability for any claim shall not exceed the fees paid by you in the 12 months preceding the claim.
  • We are not liable for any indirect, consequential, or special damages, including lost rental income or legal costs arising from serving a defective notice.

Nothing in these terms excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.

6. Intellectual property

  • Your data: You retain all rights to your property data, documents, and tenant information. We claim no ownership over your content.
  • AI-generated content: Notices, correspondence, and reports generated by your AI agent are yours to use freely.
  • Our service: The LandlordAssist platform, branding, and underlying technology remain our intellectual property.

7. Pilot and future subscription terms

  • Website plan prices are target commercial prices and do not create a subscription or an offer capable of acceptance.
  • Accepted design partners receive a separate pilot agreement stating the fees, initial term, service scope and cancellation rights before any charge is made.
  • If self-serve subscriptions launch, the checkout terms presented at purchase will govern billing, renewal, cancellation and refunds.
  • We will not charge an applicant merely for joining the waitlist or applying to a cohort.

8. Cancellation and data export

Cancellation during beta is governed by your pilot agreement. When access ends:

  • Contact us to request an available export of your documents and records; formats and coverage may vary during beta.
  • Your account and connected automation will be deactivated.
  • Deletion follows the retention periods in our privacy policy, except where law requires longer retention.
  • You can request immediate deletion at any time by contacting [email protected].

9. Service availability

We aim for high availability but cannot guarantee uninterrupted service. We may temporarily suspend the service for maintenance, updates, or circumstances beyond our control. We will provide reasonable notice of planned downtime where possible.

10. Acceptable use

You must not:

  • Attempt to reverse-engineer, copy, or resell the service.
  • Use the AI agent to generate threatening, discriminatory, or harassing content.
  • Share your agent's Telegram bot with unauthorised third parties.
  • Upload malicious files or attempt to compromise our infrastructure.
  • Exceed reasonable usage limits (we'll contact you before taking any action).

11. Changes to these terms

We may update these terms from time to time. Material changes will be communicated via email at least 14 days before they take effect. Continued use of the service after changes take effect constitutes acceptance.

12. Governing law

These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
